Job Responsibilities

1. Reception Duties

  • Welcome and assist visitors, clients, and vendors with professionalism and courtesy.
  • Operate and manage a multi-line telephone system, directing calls efficiently.
  • Maintain professional reception area.
  • Handle incoming and outgoing mail, courier services, and deliveries.
  • Monitor visitor logs and enforce office security protocols.

2. Administrative Support

  • Provide administrative assistance to multiple departments and senior staff.
  • Schedule meetings, manage calendars, and coordinate meeting room bookings.
  • Assist in making travel arrangements, including accommodations and itineraries.
  • Draft and prepare reports, memos, and official correspondence.
  • Oversee office supplies and communicate with vendors as needed.
  • Support HR and finance teams through data entry, filing, and document management.
  • Help organize internal events, meetings, and client visits.

3. Leadership & Coordination

  • Supervise junior reception or administrative staff when applicable.
  • Serve as the main point of contact for front office operations.
  • Ensure consistent implementation of office policies and customer service standards.
  • Proactively identify and suggest process improvements to enhance efficiency.
Experience requirements
  • A minimum of 1-3 years' experience in a similar administrative or receptionist role
  • Excellent communication and customer service skills, with the ability to interact with a diverse range of clients and stakeholders.
  • Strong organizational and multitasking abilities
  • Proficient in using office software, including Microsoft Office suite.
  • Exploring the efficiency of English and the benefits of Mandarin.
  • Team player with a can-do attitude.


Education requirements

Bachelor’s degree in Business Administration, Office Management, or a related field.
