Job Responsibilities
  • Provide day to day support to the team and coordinate the smooth running of the office in role of Office Management
  • Accountable for maintaining the professional office at reception, telephone, and visitor
  • Responsible for office tidiness and efficient process of maid & messenger and supervises the contract cleaner and maintain good housekeeping and tidiness of the workplace
  • Co-ordinates with customers, and courier companies to arrange for sending or pick up documents and cheques to drive the sales collection target
  • Ensure cheques received through mails and couriers are recorded, and deposit to the bank promptly, including filing up the bank in slip
  • Controls the usage of office supplies, printing and stationaries, and raise purchase requisition to replenish these supplies
  • Manages office safety and cleanliness, update monthly near misses and office safety observation report
  • Provide support to send out the weekly and monthly invoices, debit and credit notes to customers timely, including stuffing of documents into envelope, liaising with dispatch and couriers
  • Manages the travel schedule for employees and visitors to Thailand, co-ordinates on booking of flights, hotel accommodation, transports and travel itinerary. Seeks out the best deal available including negotiating for corporate rate on hotel accommodation
  • Owning I-Care regional project to update office utilities consuming (electricity, water, gasoline, and etc.) on monthly basis into system
  • Liaise and coordinate with cross functional in team to consolidate the data, report, presentation and all follow up tasks to meet the business timeline
  • Organize and take minute of the Departmental Meetings, arrange the meeting, calendar, make an appointment and key business activities for Country Director
  • Centralize the record of team member out-going plan and report to CD
  • Produce managerial reports, presentation, and administration related to business with confidentiality treatment
  • Answer the phone, trip arrangement, and other administration of Thailand team
Experience requirements
  • Bachelor’s Degree in relevant to BBA
  • 2 year experience in Office Administration and/or secretary
  • Fluent in written & spoken English and Thai
  • Able to take minutes with business acumen
  • Good computer skills: PowerPoint, Microsoft Word, Excel, Outlook, Internet Surfing
  • Strong organizing, planning & prioritizing, and coordination skills with service mind
  • Self-starter and able to work hard under pressure with multi-task skill
  • Interpersonal and professional secretarial skills
