Job Responsibilities
Purpose of Job: To organise and manage the secretarial support for the Sales Director, standardise administration procedures and provide personal assistance to the Sales Director.
Key Duties
- Diary and email inbox management for the Sales Director
- Planning and prioritising all Key Account Reviews
- Quality checking proposals and external correspondence for accuracy
- Management of electronic and paper filing systems for sales teams
- Scheduling meetings, setting agendas and taking minutes
- Compiling call records, sales reports, statistics and sales analysis
- Constructing sales presentations
- Client database entries kept up to date and accurate
- Providing administration cover for reception, holidays
- Preparing confidential reports
- Scheduling client training as soon as product installation is agreed
- Liaising with the other department on behalf of the sales directors
Experience requirements
Key Requirements:
- People management and interpersonal skills
- Demonstrable organisation ability
- Excellent Customer Service - both internal and external
- Advanced Microsoft Office Skills in Word, Excel and PowerPoint
- Accuracy in report writing and formatting skills
- Ability to add value to sales proposals and correspondence in wording and
- layout to best meet clients’ objectives
- Confidential, diplomatic and discreet
- Assertive self-starter
- Fluent in Chinese (Mandarin) language
