Job Responsibilities

Purpose of Job: To organise and manage the secretarial support for the Sales Director, standardise administration procedures and provide personal assistance to the Sales Director.

 Key Duties

  • Diary and email inbox management for the Sales Director
  • Planning and prioritising all Key Account Reviews
  • Quality checking proposals and external correspondence for accuracy
  • Management of electronic and paper filing systems for sales teams
  • Scheduling meetings, setting agendas and taking minutes
  • Compiling call records, sales reports, statistics and sales analysis
  • Constructing sales presentations
  • Client database entries kept up to date and accurate
  • Providing administration cover for reception, holidays
  • Preparing confidential reports
  • Scheduling client training as soon as product installation is agreed
  • Liaising with the other department on behalf of the sales directors

Experience requirements

  • People management and interpersonal skills
  • Demonstrable organisation ability
  • Excellent Customer Service - both internal and external
  • Advanced Microsoft Office Skills in Word, Excel and PowerPoint
  • Accuracy in report writing and formatting skills
  • Ability to add value to sales proposals and correspondence in wording and
  • layout to best meet clients’ objectives
  • Confidential, diplomatic and discreet
  • Assertive self-starter
  • Fluent in Chinese (Mandarin) language
