Job Responsibilities
Administrative Support:
- Manage the Sales Director’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Draft, review, and send emails, reports, presentations, and communications on behalf of the Sales Director.
- Organize and prepare meeting agendas, taking detailed minutes and following up on action items.
- Assist in the preparation of sales-related reports, presentations, and documents for meetings with clients, stakeholders, or senior management.
Sales Team Coordination:
- Act as a liaison between the Sales Director and the sales team, ensuring effective communication and follow-up on tasks.
- Coordinate and track sales targets, progress, and performance updates.
- Prepare and distribute sales reports, ensuring accurate data is compiled from various systems or sources.
- Schedule and coordinate team meetings, training sessions, and internal communications for the sales department.
Client & Stakeholder Relations:
- Assist in preparing materials for client presentations or meetings, including sales proposals, contracts, and presentations.
- Handle correspondence with clients and stakeholders, ensuring timely responses to inquiries and requests.
- Coordinate travel and meeting arrangements for client visits, conferences, and trade shows.
Office Management:
- Oversee office supplies, equipment, and meeting logistics for the Sales Director.
- Ensure the Sales Director’s office is organized and that all necessary documentation and materials are readily available.
- Assist with the onboarding and training of new sales team members, providing administrative support as needed.
Confidentiality & Data Management:
- Handle confidential sales and client information with discretion and professionalism.
- Organize and maintain accurate records, client databases, and sales materials for easy access by the Sales Director and team.
Project Management:
- Assist with coordinating sales campaigns, promotions, or product launches.
- Track and follow up on the progress of key sales initiatives, ensuring deadlines are met and targets are achieved.
Experience requirements
- Thai native speaking
- Bachelor's degree or higher in any field
- At least 1 year' experience as an executive assistant, secretary, or similar role, preferably supporting a sales or business development team.
- Good command in English and Japanese
