Job Responsibilities
1. Administrative Functions
- Oversee administrative tasks related to office equipment, supplies, and facility maintenance.
- Manage rental and leasing agreements for items such as cars (including car & driver), mobile phones, computers, and accessories. Responsible for car reservations (shared car usage).
- Handle the renewal process for risk, accidental damage, and insurance.
- Responsible for booking air tickets, hotel accommodations, travel insurance, and mobile roaming services for business trips.
- Manage and monitor the performance of drivers and housekeeping staff, ensuring proper documentation.
- Support staff with claim processing and assist the team in handling payment requests and workflow systems.
- Assist with any other tasks as assigned by the supervisor.
2. Human Resources (HR) Functions
- Handle onboarding and offboarding processes for employees.
- Manage employee benefits, including group insurance, annual health check-ups, and other welfare programs as outlined in company work regulations.
- Plan and organize company activities, such as company trips, the annual New Year party, monthly gatherings, and events for various holidays and festivals.
- Maintain accurate records and prepare monthly reports on time attendance, overtime hours, and leave.
- Update and communicate changes to the organization's structure and distribute newsletters to staff.
Experience requirements
- Experience in HR & Admin function for 3-4 years
- Able to communicate in English (TOEIC Score over 400-450) or in Japanese
- Able to use MS Office (word, excel, PowerPoint)
